People

Rentmoji People Module deals with all the people associated with the properties including tenants residing in properties, owners of properties and vendors who are assigned to work on maintaining these properties.

  • All tenant and owner related actions can be performed from People tenant/owner detail page as well as from Property details>tenancy/owner sub tab.

  • Step 1: Navigate to tenants under people module.

    Step 2: Search for the particular tenant by either typing the name or using the advanced search option.

    Step 3: Click on the tenant name in grid listing to navigate to detail page.

    Alternatively, tenant details can also be viewed by navigating to property details page and clicking on the tenant name under tenancy sub tab.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click the delinquent tenants filter to filter tenants that have unpaid balance greater than $0.

    Step 3: View the “Balance due” column in listing to know the amount unpaid.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click the Nearing lease completion filter to filter tenants that have their lease expiring in near future.

    Step 3: View the lease period column in listing to know the exact date of lease expiry.

  • Step 1: Navigate to tenants under people module.

    Step 2: Filter the tenants whose portal needs to be activated or inactivated by using the advanced search option.

    Step 3: Select the tenants and click on list actions

    Step 4: Select activate or in-activate portals from the bulk list actions.

  • Step 1: Navigate to tenants under people module.

    Step 2: Filter the tenants that needs to be activated or inactivated by using the advanced search option.

    Step 3: Select the tenants and click on list actions

    Step 4: Select activate or in-activate tenant from the bulk list actions.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click on a tenant to view tenant details.

    Step 3: Click on view occupants and select the occupant from the panel sliding from right to view the details of occupant.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click on the tenant that needs to be evicted.

    Step 3: In the tenant detail page, click on tenant actions and select start eviction.

    • On clicking start eviction, the page scrolls down and the eviction section to capture eviction information is displayed.

    Step 4: Select the eviction status (based on the eviction process)

    Step 5: Input the data for corresponding enabled mandatory field.

    Step 6: Once complete click on save to auto change the tenant status to “under eviction”.

    • Keep updating the eviction section to track the progress of eviction.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click on the tenant that needs to be provided notice.

    Step 3: In the tenant detail page, click on tenant actions and select provide notice to automatically send a mail to the tenant with notice to vacate.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click on the tenant that needs to be moved out.

    Step 3: In the tenant detail page, click on tenant actions and select move out.

    Step 4: Choose the type of move out required:

    • A – Partial move-out: Move out only specific tenants from the property, keeping the property status occupied.
    • B – Partial move-out: Move out all tenants from the property making the property status vacant.

    Step a: Input the move-out date

    Step b: Select the tenants that need to be moved out.

    Step c: In case existing primary resident needs to be moved out, select an alternate primary resident.

    Step d: Click on move out to complete the partial move out of selected residents.

    Full move-out

    Step 5: Input the mandatory information and click continue to proceed to the next step of move-out wizard.

    Step 6: View tenant ledger to review if there are any pending charges or credits that need to be applied against tenant.

    Step 7: Add charges against the tenant if required.

    Step 8: Add credits against the tenant if required.

    Step 9: Review the move out summary which gives a snapshot of the charges and credits with the total amount that maybe due from the tenant or due to pay the tenant.

    Step 10: Once the charges and credits are confirmed click the continue button to proceed to the next step to input forwarding address.

    Step 11: On clicking continue, in the disposition tab in wizard, the forwarding address needs to be inputted and move-out charges need to be confirmed.

    Step 12: Click on create SODA (Statement Of Deposit Allocation) button to generate a SODA document.

    Step 13: In the final step, upload any documents if required, view the SODA document and click on finish move-out button to move the tenant completely out of the property.

    • Property status changes to vacant and tenant status changes to past.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click on the tenant whose lease needs to be renewed.

    Step 3: In the tenant detail page, click on tenant actions and select renew lease.

    Step 4: If rent needs to be increased for the new lease, select whether to increase the rent amount by flat amount or percentage of rent amount.

    Step 5: Input the flat amount or percentage value as selected in step 4.

    Step 6: Input the new lease start and end date.

    Step 7: Once data provided are reviewed, click save. The rent amount will be automatically effective from the lease start date set.

  • Step 1: Navigate to tenants under people module.

    Step 2: Click on the tenant whose transactions need to be viewed and balance paid.

    Step 3: In the tenant detail page, the balance unpaid card displays the amount that needs to be paid by the tenant. To view the details of transactions, click “view tenant ledger” button.

    Step 4: To pay the unpaid balance on behalf of the tenant from system, click “pay now” button.

  • Step 1: Navigate to owners under people module.

    Step 2: In owner listing page, click on the “+ new owner” button on top.

    Step 3: Input the mandatory details of new owner and click save. New owner added will be displayed in the owner listing page.

  • Step 1: Navigate to owners under people module.

    Step 2: In owner listing page, click on the nearing contract expiry filter on top to view the result in listing.

  • Step 1: Navigate to owners under people module.

    Step 2: In owner listing, click on the nearing contract expiry filter on top to view the result in listing.

    Step 3: Click the particular owner whose contract needs to be extended.

    Step 4: In the owner detail page, update the contract expiry field.

  • Step 1: Navigate to owners under people module.

    Step 2: In owner listing, click on a particular owner to navigate to owner detail page.

    Step 3: In owner detail page, edit and input the banking information of owner in the “accounting and federal tax information” section.

  • Step 1: Navigate to owners under people module.

    Step 2: In owner listing, click on a particular owner whose statement needs to be viewed.

    Step 3: In owner detail page, click on owner actions button.

    Step 4: Select the view owner statements or generate owner statements.

  • Step 1: Navigate to vendors under people module.

    Step 2: In vendor listing page, click on the “+ new vendor” button on top.

    Step 3: Initially in the “vendor category” field choose “maintenance vendor” to add a fieldworker for property maintenance activities. Other types of vendors can also be added for book keeping, attorney etc. but will not be displayed for property maintenance.

    Step 4: Input the mandatory information and click save. The new vendor added will be displayed in the vendor listing page.

  • Step 1: Navigate to vendors under people module.

    Step 2: In vendor listing, filter the vendors whose portals are active/in-active using the advanced search.

    Step 3: Select the vendors whose portals need to activated/in-activated.

    Step 4: Click on list actions.

    Step 5: Choose activate/in-activate portal.

  • Step 1: Navigate to vendors under people module.

    Step 2: In vendor listing, click on the filter nearing work comp expiry or nearing liability expiry to view the list of vendors with nearing expiry.

    Step 3: Click on a particular vendor in result listing and navigate to important dates section in vendor detail page.

    Step 4: Edit and update the dates.

  • Step 1: Navigate to vendors under people module.

    Step 2: In vendor listing, click on the filter payments due to vendor.

    • External vendor will be paid the labor and material amount whereas, the internal vendors will be paid only the labor amount.
